The beginner's guide to Canva AI at work

You need a notice on the office screens by lunchtime, and Canva AI will happily give you one in seconds. The useful version is the one where you can still change the date — and the presenter is one you actually have.

What does your job involve?

Six common Canva AI jobs. Each card says where to start in Canva, what your plan needs, a prompt to use and the check that matters.

Open a task to see where to start, the access to check, a prompt to use and what to check in the result.

Create a branded presentation draft Home › Canva AI › Design

Get a design you can refine in the real editor.

Where to start
On the home page, select Canva AI in the side navigation, choose Design, and ask for a presentation. Select + › Apply brand first if your team has a Brand Kit.
Access to check
AI access, template/brand assets and export capabilities for the active team.
Bring this
Checked outline, audience, theme and source figures.

Try this in Canva AI

Create an editable presentation draft from this checked outline for [audience]. Use our brand kit, one idea per slide and only the numbers in the outline. Keep all copy as editable text and label any claim the outline does not support. Do not share or publish it.

Why this request helps: A checked outline and template keep the argument and brand consistent.

Check before using it: Click through every slide, then download as PPTX or PDF and open that file separately.

If this route is missing: Start from a presentation template and paste the outline yourself.

Make a campaign social graphic Home › Canva AI › Design

Turn checked copy into a useful campaign layout.

Where to start
Select Canva AI on the home page, choose Design, and name the format (for example Instagram post) in the prompt.
Access to check
AI generation and relevant design/template access.
Bring this
Audience, destination dimensions, approved copy and assets.

Try this in Canva AI

Create one editable [format] graphic for [campaign]. Use this exact copy: [copy]. Keep the headline, date and call to action as editable text. Use [brand assets]. Do not add a price, logo, link or product claim that is not in the copy.

Why this request helps: Exact copy and destination requirements make review concrete.

Check before using it: Click every text element to confirm it is editable, then check spelling, claims and readability at phone size.

If this route is missing: Use an editable template and paste the copy.

Brief an illustration or supporting visual Home › Canva AI › Image

Give a design a purposeful visual rather than decoration.

Where to start
Select Canva AI on the home page, choose Image, and describe the purpose as well as the subject.
Access to check
Your plan's AI allowance; on a team, whether your admin has AI enabled.
Bring this
Subject, palette, composition and exclusions.

Try this in Canva AI

Create one supporting illustration for [purpose] showing [subject and style]. Leave clear space for text that will be added in the design. Use [palette]. No product details, stray lettering or logos.

Why this request helps: The brief defines a visual job rather than relying on a style adjective.

Check before using it: Zoom in on hands, repeated objects, stray letters and any detail that could mislead.

If this route is missing: Use stock elements from Canva's library or a picture you have rights to.

Adapt one design to several sizes Editor › Resize

Reuse a message while making each layout readable.

Where to start
Open the checked design and select Resize on the menu bar above the editor, then Copy & resize so the original stays intact.
Access to check
Resize is on Pro, Teams, Education and Nonprofit plans, and not in Canva Docs.
Bring this
The checked design, the sizes you need and the information that must stay visible.

Try this in Canva AI

Adapt this design to [sizes]. Keep all the wording and brand assets. Reposition elements for each layout instead of cropping off the footer. Show each version for review and do not publish.

Why this request helps: A new shape is a new layout; preserving content matters more than squeezing everything into it.

Check before using it: View each version at its real display size and open the downloaded file.

If this route is missing: Create each size from an ordinary editable template.

Write clearer design copy Editor › select text › Ask Canva

Fit the message without rewriting the promise.

Where to start
Select the text box, then Ask Canva in the editor toolbar. On Free, use Canva AI in the side panel instead.
Access to check
Ask Canva needs a paid plan; Free accounts use the Canva AI side panel with a limited allowance.
Bring this
The facts that must stay, the space available and the reader.

Try this in Canva AI

Shorten this copy for [reader and space]. Keep dates, amounts, optional conditions and the required action. Suggest two alternatives. Do not add urgency, offers or a link. Keep the words as editable text.

Why this request helps: A space limit and factual rules target a useful edit.

Check before using it: Compare the meaning with the original, then read it in the layout.

If this route is missing: Edit the text by hand, or use a work chat for the wording and paste it back.

Download the file you will send Editor › Share › Download

Send the right file, rather than only a preview that looked good in Canva.

Where to start
Select Share › Download, choose the file type for the destination (PDF Print, PDF Standard, PNG or PPTX) and the pages you need.
Access to check
File types depend on the design type; PPTX is offered for presentations and Docs.
Bring this
Final destination, pages, dimensions and editable-file requirement.

Try this in Canva AI

Review this design for delivery as [format and destination]. List the pages needed and any element that may not survive the download. Give a short checklist for checking the downloaded file. Do not say the download was checked.

Why this request helps: The intended destination determines what completion means.

Check before using it: Open the downloaded file; check fonts, cropped content, media and whether it still needs to be editable.

If this route is missing: If an editable format isn't offered, send a checked PDF or image where that suits the job.

Find out what your account can use

  1. Check which Canva account and team you're signed in to before adding brand assets or work copy.
  2. Look for Canva AI on the home page. If it's missing on a team account, your admin may have switched AI off.
  3. If your team has more than one Brand Kit, ask which one this work should use.
  4. After generating, open the editable design, click every text element and check the downloaded file at the size people will see it.

Use an ordinary editable template with the same checked brief if the AI feature is missing. You can still produce a useful design without changing plan.

Ask your administrator:

Which Canva AI account and workspace should I use for work? Please confirm the features enabled for my account, whether I can use files and connected apps, which information is permitted, and who approves new access. I want to try [specific task and destination] using the access we already have.

What you'll make

one internal notice designed with Canva AI, where every fact is editable text, plus the downloaded file you would actually send.

What you'll need

a Canva account. Free accounts get a limited number of Canva AI uses; Pro, Teams and Business plans get more, plus Ask Canva in the editor. On a work team, your administrator can switch AI tools off, so check first. About fifteen minutes.

Example result.

Element What it says Check
Heading Intranet search drop-in Editable text
Date and time Wednesday 4 November 2026, 12:30–13:00 Editable, readable at phone size
Room and attendance Rowan room · Attendance is optional Both kept
Presenter Presenter to be confirmed Not replaced with a name
Picture A quiet search-bar illustration No words inside the image

1. Ask Canva AI for one design

On the Canva home page, select Canva AI in the side navigation. Choose Design as the content type, paste this brief and press Enter:

Create one editable A4 portrait notice for an office screen and noticeboard.
Use only this copy, word for word:
Intranet search drop-in
Wednesday 4 November 2026, 12:30–13:00
Rowan room
Attendance is optional
Presenter to be confirmed

Keep every line as editable text, not part of an image. Make the date and
room the easiest things to read. Use one simple illustration with no words
in it. Do not add a presenter name, joining link, logo or sign-up deadline.

Why this works: exact copy gives you something to check the design against, and “editable text, not part of an image” asks for the one property you will need when the room changes on Tuesday. Canva’s own tips suggest saying “editable” for this reason.

What you should see: one or more generated designs. Select the one you like and choose Use Canva Editor if it doesn’t open in the editor by itself. If there’s no Canva AI option, AI may be switched off for your team or not available where you are; start from a notice template and paste the same copy.

For a fuller walkthrough of writing the brief itself, see Make a first Canva AI design from a useful brief.

2. Click every text box

In the editor, click each line of the notice in turn. If a cursor appears and you can type, it’s text. If the whole block selects as a picture, the words are baked into an image and can’t be corrected later without redoing it. Then zoom out until the page is roughly phone-sized and read it again.

Why this works: a generated design can look finished while being a flat picture. Clicking is the quickest test there is, and reading it small is how most people will see it on a screen.

What you should see: five separate text elements with the copy exactly as you gave it, and an illustration that selects on its own.

3. Download the file and open it

Select Share › Download. Choose PDF Standard for a noticeboard or PNG for a screen or chat post, then Download. Open the downloaded file outside Canva and read it once more.

Why this works: the file people receive is the result, not the editor preview. Fonts, spacing and cropping can shift on the way out.

What you should see: the same five lines, in the same places, with nothing cut off at the edges.

Check the result

  • Every line matches the brief word for word, including “Attendance is optional”.
  • Each line is editable text, and the illustration contains no words.
  • The date and room are readable at phone size.
  • The downloaded file matches what you saw in the editor.

The usual failure: the design fills a gap. “Presenter to be confirmed” becomes a confident name and job title, or “optional” quietly disappears because the layout looked better without it. Spot it by reading the design against the brief line by line, not by admiring the layout. To fix one element without regenerating the whole notice, select it and choose Ask Canva in the toolbar (on a Free plan, use the Canva AI side panel), then ask:

Change only this text to "Presenter to be confirmed". Keep the date, time,
room and "Attendance is optional" exactly as they are, and keep every line
as editable text. Do not add any new details.

Canva applies the edit straight to the design, so check the line and its neighbours afterwards.

Worked example: the presenter nobody booked

Fictional example. The brief used the copy from step 1:

Intranet search drop-in
Wednesday 4 November 2026, 12:30–13:00
Rowan room
Attendance is optional
Presenter to be confirmed

The first design looked polished. Clicking through it found three problems: the presenter line read “Hosted by Priya Shah, Digital Workplace Lead”; “Attendance is optional” was missing; and the date sat inside a decorative banner graphic, so it selected as a picture rather than text.

  • The invented presenter was the costly error. It’s the most plausible-looking line on the page, which is why it survives a quick glance. The repair prompt restored “Presenter to be confirmed”.
  • The missing “optional” changed the message. Without it, the notice reads as an instruction to attend. A second Ask Canva request, asking for that line back under the room as editable text, restored it.
  • The banner date needed replacing, not editing. Asking Canva AI to swap the banner for a plain text box with the same date fixed it, and clicking the new box confirmed it was text.

The final PDF matched the example result at the top of this page.

Go deeper

Start from your Brand Kit, then check what it missed

If your team has a Brand Kit, Canva AI can use it. Before you submit the brief, select the + icon next to the prompt box and choose Apply brand. Brand Kits are created by people with the admin or brand designer role on Pro, Teams, Business and Education plans, so ask them which kit is current if you see more than one. After generation, check three things the kit can’t guarantee: the logo is the right version and not stretched, body text uses the brand font rather than a lookalike, and colours keep enough contrast for small text. A design can be perfectly on-brand and still unreadable from the back of the kitchen.

Pick the download for where the notice will go

The download format is part of the job, and the brief in step 1 only covers the design. Choose PDF Print for anything going to a printer and PDF Standard for email and screens. PNG suits chat posts and digital signage. If a colleague needs to keep editing a presentation in PowerPoint, choose PPTX (Canva offers it for presentations and Docs), then open the file in PowerPoint yourself before you send it and check the fonts, spacing and any animations. The file that arrives in someone’s inbox is the version they will judge you on.
