The beginner's guide to Notion AI at work

Your workspace has the old travel policy, the new one and a proposal to change it again, all with similar titles. Notion AI will happily answer from any of them; your job is to check it picked the one that applies.

What does your job involve?

Six Notion AI jobs, from asking a question across pages to letting Notion Agent change a database. Each card says where to start, what it can change, a prompt to use and the check that matters.

Open a task to see where to start, the access to check, a prompt to use and what to check in the result.

Find the current workplace rule Notion AI → workspace search

Find an internal answer with its supporting page.

Where to start
Open Notion AI (face icon bottom right, or Notion AI in the sidebar), select @ and choose the page or parent page to search.
Access to check
Notion AI on your plan; it can read only the pages you can.
Bring this
The question and the page that holds the current rule.

Try this in Notion AI

Answer [question] from @[current page]. Cite the passage and any exception. Keep proposals separate from the agreed rule. If that page doesn't answer it, say so; don't replace it with general web advice. Answer in chat only.

Why this request helps: An exact page and source boundary make the answer traceable.

Check before using it: Open the citation and read the page's status, date and exceptions.

If this route is missing: Open the page yourself and paste the extract into your usual work chat.

Improve a page section Notion AI → inline revision

Make a maintained page clearer without changing its rules.

Where to start
Select the text or use the available inline AI control.
Access to check
AI writing access and edit permission on the page.
Bring this
Named section, audience and meaning to retain.

Try this in Notion AI

Rewrite only this selected section for [reader]. Preserve dates, conditions, commitments and exceptions. Keep other blocks unchanged. Flag missing evidence rather than inventing it; show the revision for review.

Why this request helps: Selection and preservation rules focus the actual change.

Check before using it: Compare important facts and inspect the saved page.

If this route is missing: Draft the revision in your usual work chat and paste it in yourself.

Create a small task database Notion Agent → page/database action

Get an actual workspace structure with clear change boundaries.

Where to start
On a practice page, ask Notion Agent to create the database there, naming each property and its options.
Access to check
Notion Agent acts with your permissions, so use a page where a mistake is harmless.
Bring this
A short process, property definitions and a few sample records.

Try this in Notion AI

Plan a practice task database with Task, Status, Owner and Due date. Use only the records I give you, keep proposed dates as proposed and allow Owner to be Unknown. Show the plan first and create it only after I say yes. Do not change existing databases.

Why this request helps: Property definitions and a practice destination make real actions easier to inspect.

Check before using it: Open the database and check row count, property types, select options and missing values.

If this route is missing: Create the database yourself from the checked plan.

Fill a property from your records Notion AI → database assistance

Use AI to assist a defined classification, not decide what the field means.

Where to start
Use a practice copy of the database and write the property's rule before turning on AI autofill.
Access to check
AI autofill on your plan and edit permission on the database.
Bring this
Records, property rule, examples and an explicit unknown state.

Try this in Notion AI

Suggest [property] values for each record using this rule: [rule]. Show the evidence for each and use Unknown if it is missing or ambiguous. Do not infer personal traits. Apply only to the practice records after I review them.

Why this request helps: Evidence and unknown handling prevent confident but unsupported labels.

Check before using it: Check known, missing and ambiguous rows by hand before using it on the full database.

If this route is missing: Ask for a mapping table and enter the checked values yourself.

Summarise meeting evidence Notion → AI Meeting Notes or permitted transcript

Keep a useful record without promoting discussion into agreement.

Where to start
Recording needs everyone's consent under your organisation's rules; summarising an existing transcript needs no new capture.
Access to check
Meeting Notes availability; capture device and page sharing matter.
Bring this
The transcript or notes, and an agreed recording route if you need one.

Try this in Notion AI

From this meeting record, separate decisions, proposals, agreed actions and questions. Keep owners and dates as recorded and cite the supporting passages. Mark anything missing or unclear. Do not infer agreement or send messages.

Why this request helps: Separating status and source protects the record when discussion was ambiguous.

Check before using it: Compare important actions with the transcript, confirm them with the people involved and check who can open the page.

If this route is missing: Summarise existing notes as text instead.

Build a source-backed project brief Notion AI → workspace/connected source synthesis

Bring useful source context together for a real decision.

Where to start
Select the intended sources and ask for a draft before page changes.
Access to check
Notion AI on your plan; connected apps need setting up by your admin first.
Bring this
Current records, source authority and intended audience.

Try this in Notion AI

Prepare a project brief from @[sources]. Separate current facts, proposals, risks and decisions needed. Link important claims to their sources, show conflicting versions and list gaps. Draft in chat first; do not change sharing or other pages.

Why this request helps: A draft-first request lets you inspect evidence before changing a maintained workspace.

Check before using it: Open citations and compare the final page with the checked draft.

If this route is missing: Paste the extracts into a new page and write the brief yourself.

Find out what your account can use

  1. Check your workspace plan: Business and Enterprise include Notion AI; Free and Plus get a limited number of trial responses.
  2. Open Notion AI from the face icon in the bottom-right corner or the Notion AI tab in the sidebar.
  3. Use @ to point it at a page, and treat any request to create or edit as a real change to your workspace.
  4. Ask the workspace owner about connected apps, and check a page's Share settings before adding work material.

If a feature is missing, ask about a single page or a pasted extract instead. Don't widen workspace permissions to make an example work.

Ask your administrator:

Which Notion workspace should I use for Notion AI at work? Please confirm whether our plan includes Notion AI and Notion Agent, which connected apps it can read, which pages I may use it on, and who agrees new connections. I want to try [specific task] on a practice page first.

What you'll make

a cited answer to a workspace question that comes from the current page, not the old one or the proposal, plus one small database Notion Agent made that you have reviewed.

What you'll need

a Notion workspace with Notion AI. Business and Enterprise plans include it; Free and Plus get a limited number of trial responses, and each question or edit uses one. Use a private practice page you can delete. About fifteen minutes.

Example result.

No. Under Travel policy — current (effective 1 September 2026), first class is allowed only for train journeys over three hours. A 2½-hour journey is standard class. Proposal: first class over two hours would change that, but it hasn’t been agreed. Travel policy — 2024 is superseded.

1. Make three practice pages

Create a private page called “Practice: travel” and add three sub-pages with the text from the worked example: the 2024 policy, the current policy and the proposal. Keep the titles as they are. They’re deliberately similar, as real ones usually are.

Why this works: a workspace question is only interesting when more than one page could answer it. Three near-identical titles recreate the situation Notion AI meets in a real workspace.

What you should see: three sub-pages you can open, each with its status line at the top.

2. Ask Notion AI a workspace question

Open Notion AI with the face icon in the bottom-right corner, or Notion AI in the left sidebar. Select @ at the top of the text box and choose “Practice: travel” so it searches there, then ask:

Can I book first class for a train journey of 2 hours 30 minutes?
Answer from the current travel policy only. Name the page you used
and its effective date, and say whether any other page disagrees.
Answer in chat only; do not change any page.

Why this works: asking for the page name and date makes the source visible, and “whether any other page disagrees” brings the old policy and the proposal into the open instead of letting one quietly win.

What you should see: a short answer with citations you can select to open the page it used.

3. Open the cited page and check its status

Select the citation and read the page’s first line. Is it the current policy, with an effective date before today? Or the 2024 version, or the proposal? Then check the rule itself against the question: 2 hours 30 minutes is under three hours.

Why this works: the answer can quote a page perfectly and still use the wrong one. The status line is the check, not the quote.

What you should see: the citation points to “Travel policy — current” and the answer says standard class.

4. Give Notion Agent one small change

On the practice page, ask Notion Agent to make something rather than answer:

On this page, create a database called "Travel policy rollout" with
five tasks: update the intranet page, brief team leads, update the
booking portal text, answer FAQs, and review in December.
Add a Status property with options Not started, In progress and Done,
and an Owner property that is "Unknown" for every task.
Don't change any other page.

Why this works: Notion Agent has the same permissions you have, so a practice page is the safe place to see what a real edit looks like. “Unknown” stops it inventing owners.

What you should see: one new database on the practice page with five rows, three status options and every owner “Unknown”. Open the Status property’s options: a fourth option nobody asked for, such as “Blocked”, is a small sign it’s filling gaps.

Check the result

  • The answer cites “Travel policy — current”, not the 2024 page or the proposal.
  • It gives the effective date and says the proposal isn’t agreed.
  • The database has five rows, exactly the status options you asked for and no named owners.
  • No other page has changed.

The usual failure: the answer comes from the wrong version. The old policy and the proposal both say “two hours”, so an answer of “yes, over two hours is first class” sounds confident and is cited — just to a page that no longer applies. Spot it by opening the citation and reading the status line.

That answer cites a page that is superseded or only proposed.
Answer again using only the page marked as current, give its
effective date, and list the other pages separately with their status.
Do not change any page.

Worked example: two hours or three?

Fictional example. The three sub-pages:

Travel policy — 2024
Status: superseded on 1 September 2026
Train travel is standard class. First class is allowed for journeys over two hours.

Travel policy — current
Status: current, effective 1 September 2026
Train travel is standard class. First class is allowed only for journeys over three hours.

Proposal: first class over two hours
Status: proposal, not agreed
Proposes lowering the first-class threshold back to journeys over two hours.

The first answer said: “Yes. Journeys over two hours can be booked in first class,” with a citation.

  1. The citation was real, and wrong. It pointed to “Travel policy — 2024”. The text matched; the page had been superseded six weeks earlier.
  2. The proposal made it look settled. Two pages say “two hours”, so a quick read agrees with the wrong answer. Only the status lines separate them.
  3. The repair named the current page. After the repair prompt, the answer cited “Travel policy — current”, said standard class, and listed the other two pages with their status, matching the example result at the top of this page.

Review what Notion Agent changed

Notion Agent can find and update pages across your workspace, and set up databases with properties and views. It confirms before deleting pages, but not before every edit. After any Agent task, open each page it says it changed and compare it with what you asked: new pages, renamed properties and extra select options are the usual surprises. Start real changes on a copy. Walkthrough: what a Notion Agent can change and how to review the result.

Set database rules before AI fills them

AI autofill properties can summarise or tag every row, and on a trial each autofill counts against your responses. Before you turn one on, decide the allowed values and what counts as “Unknown”, and write that into the property’s instruction. Check ten rows by hand before trusting the rest. A “Priority” column that quietly rates everything High is not prioritisation. Walkthroughs: workspace sources and database property review.

Sharing is a page setting, not a prompt

Notion AI can only read what you can read, and it shows answers to you. But a page or database it creates inside a shared page is shared the same way as its parent. Telling the AI “keep this private” in chat changes nothing; check Share on the page itself before you put anything sensitive there.
