Write an agent remit before requesting access

An agent can acquire access before anyone has agreed what its job is. Write the remit first, while it is still a document you can change.

What you'll make

a half-page remit to discuss with the workflow owner and administrator before connecting an agent.

What you'll need

ChatGPT, a short description of one recurring job, and the people who can confirm access and review. A normal text chat is enough; allow 20 minutes and use fictional notes for practice.

Example result.

Part Remit
Output Tuesday stock draft for owner review
Sources Stock export and delivery log; access requested
Stop No purchasing, posting or edits to stock records
End Review after four runs

1. Draft the remit

Open ChatGPT on the web, choose Chat, then New chat. Write the trigger, output, source files and who will review it. Separate the access you want from the access an administrator has confirmed. Leave out credentials, addresses and private customer material.

Turn [job notes] into a half-page agent remit. Include trigger, output, source files, requested access, allowed actions, stop points, human reviewer, evidence of completed work and trial end date. Separate requested access from access confirmed in the notes. Mark missing decisions as questions. Do not invent an agent identity, mailbox, licence or working connection.

[job notes] means your description from step 1.

Why this works: a job description is easier to review than a product label. It also exposes what nobody has decided yet.

What you should see: one reporting job, with its unknowns still visible.

2. Check the requested access

Read every source and action in the card. Compare its access status with your notes. Give each missing decision to the person who can confirm it; a remit is ready for discussion when its unknowns are explicit.

Why this works: the remit covers the whole assignment, including ending it. A requested connection stays a request.

What you should see: a concise card you can take to the owner, with questions beside missing decisions.

3. Walk through the last run

Use the same chat to test whether the assignment can finish cleanly.

Walk through the final run of this trial. List what the human owner must confirm about stopping the schedule, removing task-specific access and keeping or deleting its outputs. Use only decisions in the remit. Leave retention periods and technical methods as questions where they are missing.

Why this works: an end date is useful only if someone knows what happens when it arrives.

What you should see: a short exit checklist, with the unresolved retention and access questions named.

Check the result

  • Does every source belong to this one job?
  • Are requested and confirmed permissions separate?
  • Is there a named reviewer and a trial end date?
  • Does the end-of-trial checklist have a human owner?

The usual failure: the remit says the agent has access to the stock system because the notes asked for it.

The stock-system access is requested, not confirmed. Correct that status everywhere in the remit. Keep the work as a proposal until the administrator answers. Identify any other request you turned into a working capability.

Worked example

Fictional example.

Ceramics studio: prepare Tuesday's stock summary from the current stock export
and delivery log. Four-run trial ending 10 November. Owner: Mina.
Stock-system read access requested. No purchasing or source edits.
Output retention period has not been decided.

A weak remit says “The agent reads the stock system every Tuesday.” The repair changes that to “Read access requested; administrator confirmation needed before setup.” Its exit checklist leaves output retention as a question for Mina rather than making up a period.

The four-run trial has an owner and an end. Neither proves a connection exists. Those are separate setup checks after the remit is agreed.

Go deeper

Separate the assignment from the identity

Ask the administrator whether the task uses your identity or a separate service identity, and how actions will appear in its records. Record the answer in the remit. The document itself cannot give an agent permissions or establish how a vendor logs actions.
