Troubleshoot ChatGPT when a file, feature or response is missing

A colleague's screenshot shows ChatGPT making a spreadsheet; yours replies with a table in the chat. Before trying increasingly elaborate fixes, check whether you're in the same account, surface and mode.

What you'll make

a one-line diagnosis of what’s missing, the result of one small test, and a working next step or a short report for your admin.

What you'll need

ChatGPT in your work account, the task you were trying to do, a small fictional or public example to test with, and about fifteen minutes.

Example result.

Observed: asked for this week's prices from a supplier's public page; answer had no citations.
Likely cause: web search didn't run, possibly limited by workspace settings. Not confirmed.
Test: new chat, "search the web… and cite the page" — still no citations.
Next step: pasted the page excerpt myself; asked admin whether search is enabled.

1. Write down what you can see

Record what you expected, what you saw and the last thing you did. “I asked for an .xlsx; the reply has a table and no download” is useful. “It won’t do spreadsheets” is too broad to fix. Check whether the task is still running or waiting for you, and save any useful text before you retry.

Why this works: a missing button, an unread file and an absent download are different problems with different fixes.

What you should see: one sentence describing the symptom, not the cause.

2. Match the symptom to its usual cause

Symptom Usual cause First check
A colleague has a feature, you don’t Different plan or workspace setting Compare plan and workspace in Settings; ask your admin
You get a table, not a downloadable file You’re in Chat, not Work Switch to Work if available and name the file type you want
Answer about current events has no citations Web search didn’t run, or your workspace limits it Ask for current information and sources in a new chat; look for citations
It can’t quote your PDF Scanned image, or the file didn’t attach Ask for one short passage from page 1 and compare it
A plugin or tool is missing Not installed, not enabled for your workspace, or not on this surface Check Plugins; some are desktop-only
A Work chat is missing on another device Different account or workspace, or older task Check you’re signed in to the same account and workspace
A chat has vanished from the sidebar Filtered or archived Set the sidebar filter to Chronological; check Archived chats in Settings

You don’t need a search button: in ChatGPT on the web, you ask for current information or sources, and citations appear when search was used. Workspace settings can limit it, and plugin availability also depends on your account and workspace.

Why this works: most “missing” features are a setting, a mode or a surface, and each has a one-line check.

What you should see: one likely cause and one check to run.

3. Test with one small request

Use a small fictional or public example, not the confidential original, and change one thing at a time:

The problem is [what happened]. I expected [result]. First tell me what source or output you can actually access in this conversation. For [named source], show [one short passage or a few values] I can check. For a file, give its type and download link. Do not claim access you don't have or describe a file you haven't produced.

[what happened] and [result] come from step 1; [named source] is the file or page involved, and the fourth bracket is what you’ll check it against.

Why this works: a short passage or a real link is evidence; “I’ve read it” isn’t. An accurate sample proves that sample, not the whole file.

What you should see: a passage you can compare, a real download, or a plain statement that it can’t.

4. Fix it, or report it

If the check in step 2 found the cause, fix that one thing and retry. If not, check OpenAI’s status page, then send your admin or support a short report:

Task and expected result:
What happened (exact error, with nothing private):
Account and workspace type:
Device and app or browser version:
Date, time and time zone:
Small example that shows the problem:
Checks already tried:

For a work account, ask your admin rather than switching to a personal account and copying work into it. Don’t widen permissions or connect extra apps just to match a screenshot.

Why this works: one change at a time tells you what fixed it; a precise report gets a faster answer.

What you should see: the feature working, or a report your admin can act on.

Check the result

  • The fix changed one thing, and you know which.
  • Where the answer depends on a source, it shows a passage you could check.
  • No work material went into a personal account.
  • The answer doesn’t claim to have used a feature that didn’t run.

The usual failure: the answer pretends the missing feature worked. “Here’s your spreadsheet” with no file, or “as of this week, prices are…” with no citations. Spot it by looking for the download link or the citations, not by reading the confident sentence. Then switch to a fallback and make the limitation visible:

Use only [pasted excerpt or attached file]. Produce [small result]. State plainly that you did not [search the web / create a file / read the original], and list anything that would need that to confirm. Do not change permissions or connect another account.

Name what you’re giving it, the small result you want, and the feature it couldn’t use.

Worked example: current prices with no citations

Fictional example. Joel, in his company’s Business workspace, follows a colleague’s tutorial: “Ask ChatGPT for this week’s prices on Larchmont Tools’ public price page.” The answer reads: “As of this week, the 18V drill is £129 and the 12V driver is £79.”

  • The failure. It sounds current, but there are no citations, so there’s no sign search ran. The prices may be from training data.
  • The diagnosis. The table points to search. In a new chat, “search the web for Larchmont Tools’ current price page and cite it” still returned no citations. The cause is probably a workspace setting, but that isn’t confirmed, so Joel asks his admin rather than switching accounts.
  • The repair. Joel opened the page himself, pasted the price section, and used the fallback prompt. The answer quoted the pasted prices and said: “I did not search the web; these figures come only from the excerpt you provided.” That’s the example result’s last line.

Go deeper

Change one layer at a time

Keep the source fixed while checking how you get the output, and keep the output route fixed while checking the source. Changing account, model, file and surface at once may produce an answer without explaining the problem. If the desktop app and the CLI behave differently, note both versions: features can reach one before the other.

When the problem is quality, not access

If the feature works but the answer is wrong, that’s a different job. Use Improve an answer without starting the whole conversation again. A different model can’t supply a missing policy or make an unsupported promise true. For the same checks in Claude, see Troubleshoot Claude when it cannot see a file or finish a task.
